Availability

Guides mark the time windows when they are free to lead tours. This information is visible to admins and managers in the tour detail sidebar and is used by Auto Assign to pick the right guide for each slot.

How it works

The Availability view shows a weekly calendar split into time blocks. Each block covers a named time range — for example Morning · 09:00–13:00. Clicking a block toggles your availability for that day and time window.

A block is only clickable when there is at least one tour scheduled in that window that the guide is qualified to lead. Blocks with no matching tours are shown dimmed and cannot be selected.

Time block statuses

Available

The guide has marked availability for all tours in this block that match their knowledge. Clicking again removes availability.

Partially available

The guide is marked available for some tours in this block but not all — this happens when new tours were added to a time window after the guide already submitted availability. Clicking updates all tours in the block.

Not available

There are tours in this block that the guide knows, but they have not marked themselves as available. Clicking marks them available.

No tours

No tours are scheduled in this block that match the guide's tour knowledge. The block is disabled and cannot be clicked.

What tours can a guide mark availability for?

A guide can only submit availability for tours they are qualified to lead. The system checks each scheduled slot against the guide's tour knowledge records — a combination of tour and language. If no knowledge record exists for a slot, that slot is invisible to the guide and the block shows as No tours.

Tour knowledge is managed per guide in Settings → Guides Tour Knowledge. Adding a new record there will immediately make those slots visible to the guide in the Availability view.

Configuring time blocks

The time blocks shown in the Availability calendar — their names, start times, and end times — are set by an admin. Each block should cover a distinct part of the day so that tour slots fall naturally within one block.

Time blocks are configured in General Settings → Time Slots. If no time slots are configured, the Availability view will show a prompt to set them up first.
